Privacy Policy
Last updated:
Nemr Marketing respects your privacy. This policy explains what personal information we collect through this website and through phone calls handled by our AI voice assistant, why we collect it, who helps us handle it, and how you can access or delete it. We handle personal information in accordance with Canada’s Personal Information Protection and Electronic Documents Act (PIPEDA).
1. Information we collect
We only collect information you choose to give us. When you submit the contact form on this site, we collect:
- Your name
- Your business name
- Your email address
- Your phone number
- The industry or trade you work in
- Anything you write in the message field
We also record the page the form was submitted from, along with the date and time, so we can understand the context of your enquiry.
2. Phone calls and our AI voice assistant
When you call Nemr Marketing and we cannot pick up right away — if a call goes unanswered after about five rings, or it comes in outside our working hours — your call may be answered by an automated AI voice assistant instead of going to voicemail. The assistant speaks with you briefly, takes down your details, and passes them to us so we can call you back.
What we collect during a call
When the AI voice assistant answers a call, the following information may be collected:
- Your name, if you provide it
- Your phone number, from the incoming call
- What you tell the assistant about your enquiry or request
Call recording and transcripts
The audio of the call and a written transcript may be recorded and stored. We use these to make sure we have captured your details accurately and to follow up on your enquiry. Recordings are treated as personal information under this policy.
Third-party AI provider
Calls answered by the assistant are processed by a third-party AI voice provider on our behalf. That provider handles the live conversation, generates the transcript, and stores the recording. The provider acts on our instructions and is given only the information needed to run the service. The provider may store or process data outside Canada, including in the United States, where that data may be accessible to foreign courts and law enforcement under the laws of that country.
How long call recordings are kept
Call recordings and transcripts are retained for up to twelve months. If your enquiry leads to work together, the relevant call details may be kept for the life of the engagement and for up to seven years afterwards, to meet our record-keeping obligations. After the retention period, recordings and transcripts are deleted.
Accessing or deleting a call recording
You can ask us to confirm whether we hold a recording of your call, to receive a copy, or to have the recording and transcript deleted, by emailing elias@nemrmarketing.com. We will respond within thirty days and may need to verify your identity before acting on a request. Where we are legally required to keep a recording, we may not be able to delete it immediately, but we will explain why.
3. Why we collect it
We collect this information for clearly identified purposes only:
- To reply to your enquiry and answer your questions
- To prepare for and schedule a strategy call
- To prepare a proposal or quote you have asked for
- To keep a record of our correspondence with you
Submitting the form is your consent to be contacted about your enquiry. We will not add you to a marketing list unless you separately ask us to, and you can withdraw consent at any time by emailing us.
4. Third-party service providers
We use a small number of trusted third-party services to operate this site and manage enquiries:
- Form handling. Contact form submissions are processed by a third-party form service, which delivers them to our inbox.
- Customer relationship management (CRM). Enquiry details may be stored in a CRM so we can track conversations and follow up.
- Email and hosting. Our email provider and web host necessarily process messages and traffic on our behalf.
- Website analytics. Aggregate traffic measurement, described in section 6.
These providers act on our instructions and are only given the information they need to perform their function. Some of them may store or process data outside Canada, including in the United States, where that data may be accessible to foreign courts and law enforcement under the laws of that country.
5. We never sell your information
We do not sell, rent, or trade your personal information to anyone. We do not share it with third parties for their own marketing purposes. We disclose it only to the service providers described above, or where we are required to by law.
6. How long we keep it
If your enquiry does not lead to work together, we keep your details for up to twenty-four months in case you get back in touch, then delete them. If we do work together, we keep records for as long as needed to service the relationship and to meet our tax, accounting, and legal obligations — generally seven years after the engagement ends.
7. Cookies and analytics
This website uses a small number of cookies and similar technologies. Essential cookies keep the site working and help prevent spam submissions. Analytics cookies help us understand which pages are visited and how people move through the site, so we can improve it. This is aggregate traffic information, not a profile of you personally.
You can block or delete cookies in your browser settings at any time. Blocking analytics cookies will not affect your ability to use the site or contact us.
8. Safeguards
We protect personal information with security measures appropriate to its sensitivity, including encrypted connections, access controls, and limiting access to the people who need it to do their job. No method of transmission over the internet is completely secure, so we cannot guarantee absolute security.
9. Accessing, correcting, or deleting your information
Under PIPEDA you have the right to ask what personal information we hold about you, to have it corrected if it is inaccurate, and to ask us to delete it. Email elias@nemrmarketing.com and we will respond within thirty days. We may need to verify your identity before acting on a request.
If you are not satisfied with how we handled your request, you can contact the Office of the Privacy Commissioner of Canada.
10. Changes to this policy
We may update this policy from time to time. The date at the top of this page shows when it was last revised.
